FCI Declaration Format and Handwritten Declaration Guide

The FCI declaration format is a short statement that you write by hand, scan and upload with your online application. It sits next to your photo, signature and thumb impression, and a wrong declaration is one of the most common reasons an otherwise good form gets rejected.

This page gives the wording pattern used in recent notices, the writing rules, the scan sizes for all four uploads, and a resizer that prepares your files in the browser. The notice for your post is the final word, so always compare with it before you upload.

What the Written Declaration for FCI Is

Recent FCI notices ask every applicant to upload a handwritten declaration along with the photo, signature and left thumb impression. It is a promise, in your own hand, that the details in your form are true and that you will show proof when asked. Because it is in your handwriting, it also helps confirm that you filled in the form yourself.

Some readers call it the FCI self declaration form, the declaration format for FCI or the Food Corporation of India declaration form. There is no separate form to download. You write the text on plain white paper, scan it and upload it as an image during the application. The FCI recruitment guide shows where this step comes in the full process.

FCI Declaration Format: The Exact Wording

The FCI declaration statement in recent notices follows this pattern. Replace the bracket part with your own full name, as it appears in your application:

"I, (name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required."

Before you write, open the notice for your post and find the declaration text printed there. Copy the exact wording printed in your notice, word for word, even if it differs slightly from the pattern above. Do not add a date, address or extra lines unless the notice asks for them.

How to Write the FCI Handwritten Declaration

A declaration written by someone else or in another language makes the application invalid. So write it yourself, in English, even if you are applying for a Hindi post.

  1. Take a clean sheet of plain white paper with no lines.
  2. Use a black ink pen. Do not use blue ink, pencil or a sketch pen.
  3. Write the declaration in English, in your normal running or print hand. Do not use capital letters for the whole text.
  4. Write your full name in the bracket place exactly as in your application.
  5. Keep the text inside a box of about 10 x 5 cm so it scans to the right shape.
  6. Let the ink dry fully, then scan or photograph the sheet in good light.
  7. Crop the image so only the declaration is visible, with a small white margin.

If your handwriting is very large, practise on a rough sheet first so the full text fits neatly in the box.

Scan Sizes for the Declaration Form for FCI and Other Uploads

These are the sizes used in recent FCI notices. The current notice decides, so check the upload table there before scanning.

DocumentPixel sizeFile sizeKey rule
Handwritten declaration800 x 400 px (10 x 5 cm at 200 dpi)50 to 100 KBEnglish, black ink, white paper, not in capitals
Photograph200 x 230 px20 to 50 KBRecent colour photo, JPG
Signature140 x 60 px10 to 20 KBBlack ink on white paper, not in capitals
Left thumb impression240 x 240 px (3 x 3 cm at 200 dpi)20 to 50 KBRight thumb only if there is no left thumb

All four files are uploaded as JPG. A file outside the KB range is usually refused by the form, and a squashed or stretched image can be rejected later during scrutiny.

A flatbed scanner at 200 dpi gives the cleanest result, though a sharp phone photo in daylight also works after cropping.

Photo, Signature and Thumb Impression Rules

Photograph

Use a recent passport style colour photo and follow the photo rules listed in your notice, such as background and face size. Keep a few prints of the same photo, because the admit card instructions may ask for one at the exam centre.

Signature

Sign on white paper with a black ink pen, in your usual style, not in capital letters. The signature on the form must match the one you give at the exam and at document verification.

Left thumb impression

Use the stamp pad ink your notice describes and press your left thumb once on white paper, so the ridges are clear and not smudged. Use the right thumb only if you do not have a left thumb. The AG III guide covers the rest of the form for that post.

How to Use the Declaration and Photo Resizer

The tool below prepares your declaration, photo, signature and thumb impression to the sizes in the table above. It works inside your browser. Nothing is uploaded to any server, so your images stay on your phone or computer.

  1. Pick the document type: declaration, photo, signature or thumb impression.
  2. Choose the image from your phone gallery or computer folder.
  3. The tool crops it to the required pixel size and compresses it into the right KB range.
  4. Check the preview. The text or face should be clear and not stretched.
  5. Download the JPG and upload it in the application form.

If the preview looks blurred, take a fresh scan or photo in better light and try again. Before uploading, compare the sizes once more with the table in your own notice.

Common Mistakes in the Declaration for FCI Application

  • Writing in capital letters: notices ask for normal handwriting, not all capitals.
  • Typing the text: a typed or printed declaration is not accepted. It must be written by hand.
  • Writing in Hindi: the declaration must be in English for every post.
  • Someone else writing it: this makes the application invalid.
  • Blue ink or ruled paper: use black ink on plain white paper.
  • Changing the wording: copy the text printed in your notice exactly.
  • Uploading the declaration in the signature slot: check each upload box before you submit.

Once the form is final, you usually cannot change the uploads. Check all four images in the preview page. When the call letter comes out, the admit card guide shows how to check that your photo printed correctly.
